The Statement of Owner's Equity shows how a business's equity changes over a given period. In Ratals ERP, it highlights beginning equity, contributions, withdrawals, net income, and the final ending equity. This tutorial will guide you through each section of the report and explain how to interpret it effectively.
To view the Statement of Owner's Equity, navigate: Admin > Accounting > Financial Statements > Statement of Owner's Equity. The report includes a date filter, allowing you to select a From Date and a To Date for the reporting period.
Once you select your desired date range and click Search, the report populates all relevant accounts and transactions for the selected period.
Understanding the Table Layout
The report is displayed in a tabular format with two primary columns:
Account Name - Lists the equity accounts you've created or edited, including standard equity accounts and contra-equity accounts that reduce total equity. By default, Ratals shows one Owner's Equity account as an example, which you can edit to include an owner's name.
Amount - Shows the monetary value associated with each account for the selected period, formatted according to your currency settings.
Note: To edit an account, navigate to Admin > Accounting > Bookkeeping > All Chart of Accounts, then:
Click "Sub Item(s)" for the row where Account Type = Equity.
Click "Edit" for the row where Account Name matches the owner's name you want to change.
This account acts as a folder for all sub-accounts under the owner, such as Capital, Common Stock, Preferred Stock, Drawings, etc. While Ratals creates these accounts by default, you may not need all of them - requirements depend on your business's legal structure. Any account without an account number automatically becomes a folder that can hold sub-accounts.
Sections of the Statement
The report is broken into key sections, each reflecting different aspects of owner equity. Understanding these sections will help you interpret changes in equity over the reporting period.
1. Beginning Equity
The report begins with the beginning balance for each equity account, representing cumulative equity carried forward from prior periods.
For example, an “Owner's Capital” account shows beginning equity as all contributions and retained earnings from prior periods.
2. Contributions
The Add: Contributions section lists all new capital contributions made during the period, including cash injections or additional equity investments by the owner(s). These entries increase total equity and are aggregated per account.
3. Withdrawals
The Less: Withdrawals section captures all reductions in equity, such as owner withdrawals or distributions. Withdrawals decrease the equity balance for the reporting period.
In Ratals ERP, withdrawal entries are clearly labeled and calculated separately for each equity account.
4. Account Subtotals
For each account, the system calculates a subtotal, which sums the beginning equity, contributions, and withdrawals. This allows you to see how each owner's account has changed over the period.
Retained earnings reflect profits or losses that have not yet been distributed to the owners. Ratals ERP automatically calculates retained earnings based on the Revenue and Expenses accounts for the period.
The report includes a line for Add: Period Net Income (Unclosed), adding any unclosed net income to the equity totals.
6. Ending Total Owner's Equity
The report displays the Ending Total Owner's Equity, combining beginning balances, contributions, withdrawals, and net income. This represents the business's final equity position at the end of the period.
How to Interpret the Report
Beginning balances - Confirm prior period data is accurate before reviewing current changes.
Contributions - Ensure all owner investments are properly recorded.
Withdrawals - Monitor to prevent unauthorized or misclassified distributions.
Net income - Cross-check with the income statement to verify retained earnings.
Ending equity - Ensure this reconciles with the balance sheet totals.
Tips for Users
Ensure that all journal entries are correctly categorized as Equity, Equity (Contra Account), or Withdrawal Entry.
Use the date filters to isolate periods for analysis or auditing.
Ratals ERP automatically calculates net income for the period, reducing manual adjustments.
Summary
The Statement of Owner's Equity in Ratals ERP provides a comprehensive view of how owner equity changes over time. By understanding each section - beginning equity, contributions, withdrawals, retained earnings, and ending equity - you can monitor owner equity accurately and make informed business decisions.
